Terms & Conditions - Exhibitors


All visitors enter the event site at their own risk and are advised to keep informed of the weather and wear suitable footwear and clothing. Hants Events, its sponsors, contractors and agents will not be liable in any way for injury, loss, damage or death that might occur as a result of participation at the Hampshire Pet Fair, unless by negligence on their part.

Exhibitors must submit an application and receive a confirmation email from us before booking. This application can be found here: https://www.hantsevents.co.uk/exhibitor-registration. Hants Events reserve the right to accept or refuse any application for a booking without giving any reason. 


Exhibitor Pitches

  • Pitch allocation will be at Hants Events’ sole discretion. Please inform us of any special requirements when booking, we will make every effort to accommodate requests but cannot guarantee to do so.

  • Outdoor stands must provide their own gazebos, tables, chairs, etc. All displays and equipment must fit within the allocated space provided.

  • Hants Events will contact all exhibitors by email in advance of the event with an information pack. As part of this pack, exhibitors will be provided with a time slot to arrive for setup on the day. These time slots will be staggered to ensure minimal delay in being shown to your pitch. If you fail to arrive within your designated arrival slot, you will be asked to wait outside the venue. You will be allowed in to setup as soon as possible by a member of staff, but please be aware you may have to wait until after all other stallholders have been allowed in.

  • Generators are allowed only with written permission from Hants Events & will need certification.

  • Vehicles (not on display) must be removed from the exhibiting area by 9:30 am. No vehicles can be driven or moved around the exhibiting area during the event. All vehicles remaining on the site must fit within your allocated space and must be part of your display. Vehicles are not to be parked behind your pitch, there is designated parking which you will be shown to once you have unloaded.

  • Each Space includes 2 Adult admission tickets (wristbands). Further tickets for extra helpers can be pre-purchased for £4 adults. Wristbands must be worn by all stallholders throughout the day.

  • All catering vendors must have relevant equipment certificates and permissions to attend with fire safety equipment. These must be available for inspection on the day.  Rubbish bins must be provided and removed at the end of the day.

  • Exhibitors are not permitted to dismantle their display prior to the published closing time.

  • All display materials must be completely removed from the venue at the end of the event, it is the Exhibitors responsibility to ensure that they have all of their possessions.

  • All Exhibitors must leave their space free of rubbish and must remove any rubbish they or their visitors may have generated and dispose thereof properly.


Health & Safety

  • All exhibitors are required to hold PLI (public liability insurance) valid on the day of the event.

  • Exhibitors must adhere to all fire, health, safety laws and regulations. Aisles and fire exits must be kept clear at all times.

  • Any Exhibitors offering products and services within the food industry must be registered with their local environmental health authority and hold all relevant certificates and consents, which must also be available for inspection if requested.

  • The Exhibitor indemnifies Hants Events against any claim or action for any injury or death being caused to any persons whosoever by any negligence on the part of the Exhibitor or for any damage to any property by the Exhibitor

  • Hants Events will not be responsible for the safety of any property owned by or brought to the event by an exhibitor or any other person on his behalf, or for any loss or damage that may occur to such property, unless caused by Hants Events negligence.

  • All electrical equipment brought by the exhibitor must display a current PAT Certification label.


Cancellations & Refund Policy

  • If you wish to cancel your booking for any reason, please advise us of your cancellation via email in the first instance at petfair@hantsevents.co.uk.

  • If you decide to cancel part or all of your booking up to 14 days before the event, a refund can be requested. There is a £10 administration fee per booking. This covers all and any unrecoverable charges, fees and costs involved.

  • Cancellations made within 14 days or less of the commencement of the event are not entitled any refunds.

  • Bookings are non-transferable.

  • Hants Events, at our sole discretion, may cancel any booking at any given time without giving a reason in such case the Exhibitor’s payment will be refunded in full.

  • Should Hants Events be forced to cancel due to circumstances outside of their control, (extreme weather, acts of god etc.) refunds will be subject to the terms of the cancellation, also the opportunity to transfer the booking to a new event, should the need arise.

  • Hants Events accept no responsibility for any costs incurred by the Exhibitor for staffing, travel, printing or any other related preparation expenses, if the event does not take place for any reason. It is the Exhibitor’s responsibility to obtain their own Event Cancellation Insurance to cover such situations.

Animal Welfare

  • Details of any animals brought to the fair for exhibit must be provided before the fair and permission given.

  • Any animals must be responsibly exhibited, and all must be under safe control at all times. Please provide any applicable warning signs for public information and hand sanitizer for all public who handle your exhibits.

  • The Hants Events Team reserve the right to ask any exhibitor, trade, rescue or charity to leave if it is deemed animals are being neglected or mistreated in any way.

  • No sale of animals is permitted.

  • Any exhibit displaying animals must provide Hants Events with evidence of valid PLI, their animal welfare policy and a risk assessment for the event.

Dog Policy

Dogs are welcome at this event. By bringing your dogs to the event, you are responsible for their behaviour. Please keep all dogs on leads at all times. Bitches in season and puppies who have not completed their full vaccinations should not attend. Please consider the temperament of your dog before you decide to attend. The show is very busy with thousands of other dogs and people, and knowing your own dog(s), you should consider if this is an environment they will enjoy.

Data Protection

Your contact information may be used to provide information regarding this event and other associated events from Hants Events. You retain the right to unsubscribe from any such communications. Your information will not be shared with any 3rd parties.

Filming & Photography

By attending the event, participants consent to being filmed/photographed for security and broadcast without payment.
